OC Canvas Studio LLC (“OC Canvas Studio,” “we,” “us” or “our”) operates www.occanvasstudio.com. This Privacy Policy explains how personal information is collected, used and disclosed when you browse our store, contact us, upload photos or personalization details, or place an order for custom prints and artwork.

1. Information we collect

  • Contact and order information: your name, email address, telephone number, billing and shipping addresses, order details, delivery instructions and communications about your purchase.
  • Photos and personalization: images, artwork, names, dates, messages and other content you upload or send for a custom product, along with proofs, requested edits and approval messages. Photos may contain personal information about you or other people.
  • Payment and transaction information: payment details submitted at checkout are processed by Shopify and the payment providers you select. We receive the transaction and payment-status information needed to manage your order.
  • Support, subscriptions and reviews: information you provide through contact forms, email, newsletter subscriptions or product reviews.
  • Device and browsing information: IP address, browser and device information, cookie identifiers, pages and products viewed, referral information and interactions with our store, cart and checkout. Shopify and integrated services collect this information through cookies, pixels, logs and similar technologies.

Information comes from you, your use of our website, and the service providers that support our store and transactions.

2. How we use information

We use personal information to process payments, prepare custom designs and proofs, communicate about approvals, produce and ship orders, provide order updates, respond to questions, manage reviews and resolve order issues. We also use information to maintain business records, prevent fraud, secure and improve the store, understand shopping activity, and measure and deliver marketing through the services described below.

If you subscribe to promotional emails, we use your subscription information to send studio news and offers. You can unsubscribe using the link in a promotional email or contact us. Essential messages about an order or privacy request may still be sent.

3. Your uploaded photos and custom artwork

When a product requires a photo, upload it using the Upload Image tool on the product page or follow that product’s submission instructions. We use the submitted files and personalization details to prepare your artwork, provide proofs, make requested adjustments, fulfill your order and handle related customer support.

The upload tool is provided by Cloudlift. Files and related order information are processed through the upload service and our order workflow. Please provide only the content needed for your product and make sure you have the necessary rights and permissions to submit it, including permissions concerning other people shown in a photo where required.

Submitting content for a custom order does not transfer ownership of your original photo or artwork to us. To ask about a file or request deletion of an uploaded photo, contact us using the details below and identify the relevant order. Retention and deletion limitations are explained in Section 7.

4. Service providers and other disclosures

Operating an online store requires information to be processed by other companies. These include:

  • Shopify: store hosting, checkout, order management, platform analytics and other commerce services.
  • Payment providers and shipping carriers: payment processing, transaction checks, shipping labels, delivery and tracking.
  • Cloudlift: receiving, storing and linking uploaded files to personalized orders.
  • Judge.me: product reviews, review requests and associated service analytics. Information you choose to include in a published review may be visible to other visitors.
  • Communication, technical and professional service providers: services needed for customer support, email, website operation, accounting and other business functions.
  • Analytics and advertising partners: the services described in Section 5.

We may also disclose information when required by law, in response to a valid legal request, to address fraud or security concerns, to protect legal rights, or at your direction.

Shopify also processes information for certain services under its own privacy terms. Learn more in Shopify’s Privacy Policy and use Shopify’s privacy portal for choices relating to Shopify’s own processing. Cloudlift’s practices are described in its Privacy Policy.

5. Cookies, analytics and advertising

Our store uses cookies and similar technologies for shopping-cart and checkout functions, security, preferences, analytics and marketing. Integrated tools include Google Analytics and Google advertising services, Meta/Facebook and TikTok advertising integrations, and Shopify and Judge.me analytics.

These services may receive device and cookie identifiers, browsing events, product and purchase information, and contact information made available through the relevant integration. They help measure store performance, attribute purchases to advertising and show relevant ads. The information processed depends on the service, its settings, your location and your privacy choices.

Disclosures to advertising partners can be considered a “sale,” “sharing” or processing for “targeted advertising” under some privacy laws, even when no money is exchanged. Where applicable, you can request to opt out by emailing occanvasstudio@gmail.com with the subject “Privacy opt-out.” You may also use any cookie or privacy controls displayed on the store. Browser cookie controls can restrict or remove cookies, although blocking essential cookies may affect shopping and checkout.

For Google’s practices and choices, see How Google uses information from sites that use its services and the Google Analytics opt-out tool. You can also manage advertising preferences within your Google, Meta/Facebook or TikTok account. Choices are specific to the relevant service and may need to be repeated on other browsers or devices; opting out of personalized ads does not remove all advertising.

6. Your privacy rights and requests

Depending on where you live and the laws that apply, you may have the right to request access to or a copy of your personal information, correction, deletion, restriction of certain processing, or an opt-out of sale, sharing or targeted advertising. Where processing is based on consent, you may withdraw that consent. Applicable laws may also provide rights to object to processing, use an authorized agent, appeal a request decision or complain to a privacy regulator.

Send requests to occanvasstudio@gmail.com. Include enough information to locate your records, such as the email address used for your order and your order number if available. Please do not email payment-card numbers or identity documents unless a secure verification process has been arranged.

We may need to verify your identity and an agent’s authority before handling a request. Requests are subject to applicable legal requirements and exceptions, including obligations to retain certain transaction records. If a request is declined, you may contact us to ask for a review. We will not discriminate against you for exercising privacy rights available under applicable law.

7. Retention and deletion

Order records and customer communications are retained for order fulfillment, customer support, accounting, tax, fraud prevention and legal purposes. The appropriate retention period depends on the type of information, the purpose for which it is held and applicable obligations.

Photo and artwork files may remain in upload services, order records, studio working files or backups after an order is completed. Retention can differ between those systems; there is no single automatic deletion deadline stated by this policy. Contact us to request deletion of your photos or other personal information. We will review the request and remove information as required by applicable law, subject to permitted recordkeeping and other exceptions. Deletion from active systems may not immediately remove copies in backups.

8. Security and international processing

No website, transmission method or storage system can guarantee absolute security. Please avoid sending unnecessary sensitive information through uploads, contact forms or email.

Our studio is based in the United States. Shopify and other service providers may process or store information in the United States and other countries, where privacy laws may differ from those where you live. When applicable law requires safeguards for international transfers, those requirements apply to the relevant processing.

9. Additional information for European visitors

Where European Economic Area, United Kingdom or Swiss data protection laws apply, OC Canvas Studio LLC is responsible for its processing described in this policy. The legal basis depends on the activity: fulfilling or taking steps to enter into your purchase contract; complying with legal obligations; legitimate interests such as customer support, fraud prevention and maintaining the store, balanced against your rights; or consent where required, including for certain cookies and marketing activities.

You may contact us to exercise applicable rights or raise a concern, and you may complain to your local data protection authority. Our customer-service email is not a government or supervisory authority.

10. Children and third-party services

Our store is intended for adults placing orders and is not directed to children. If you are a parent or guardian concerned about personal information submitted by a child, contact us to request review and deletion where appropriate. Adults submitting family photos should have the necessary permissions.

Links to other websites, social media platforms and optional third-party services are governed by their own privacy policies when you use them.

11. Policy updates

We may update this policy to reflect changes to the store, our practices or applicable requirements. The revised version will show a new “Last updated” date. Where required, additional notice or consent will be provided before a material change takes effect.
